We are looking for an Executive Assistant who will provide administrative and practical support to our CEO and CFO. In this role you will ensure that the Tobii Dynavox CEO AND CFO, together with their Executive Management Team and board of Directors are as effective as possible. This by managing schedules, coordinating meetings and events, and performing various administrative duties.
Your days will be filled with:
- Managing executive calendars and schedules, including prioritizing and coordinating appointments, meetings, and travel arrangements.
- Proactively addressing executive needs, ensuring efficient workflow and timely completion of tasks
- Preparing and organizing materials for meetings, presentations, and conferences as well as coordinating and facilitating internal and external meetings, including agenda preparation, minutes taking, and follow-up on action items.
- Serving as a liaison between executives and internal/external stakeholders, demonstrating excellent communication skills and professionalism.
- Collaborate with other administrative staff to ensure seamless operations and support across the organization.
We are looking for someone with:
- A high level of professionalism, integrity, and drive, paired with proven experience (ten years or more) as an Executive Assistant or similar role, preferably supporting C-level executives.
- Exceptional organizational and multitasking skills, with the ability to prioritize and manage multiple projects simultaneously
- Proficiency in using productivity tools, computers, digital conference equipment and related software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to build and maintain effective relationships in an international setting with internal and external stakeholders.
- Strong problem-solving and decision-making abilities.
- Strong attention to detail and accuracy in all aspects of work.
- Excellent English verbal and written communication skills.
- Ability to adapt quickly to changing priorities and work well under pressure.
